
Helpful Hints
The following suggestions may be useful in helping to raise awareness of copyright issues within your organisation.
- Check that your College has the appropriate licences.
- Ensure that a current copy of the CLA user guidelines, together with the latest List of Excluded Works, is displayed next to all copiers in the college (both are available from the CLA website).
- Ensure that copyright information is regularly updated (CLA and NLA licences should be renewed on an annual basis and any updates to the licence are usually forwarded to the College Licence Co-ordinator).
- Include a session on 'good copyright practice' in staff/student induction sessions.
- Run regular staff development sessions on 'good copyright practice'. The CLA and NLA frequently run free copyright workshops. Contact numbers for both organisations are available in this Tool Kit.
- Include a standard declaration about copyright on College photocopying requisition forms.
e.g. 'I have read and understood the copyright guidelines as issued by the appropriate licensing agency and I take full responsibility for any infringement of copyright.' Remember to leave a space for the signature!
- Include information on copyright in the Library/Learning Centre User Guides.
- Include a section on copyright in your Staff Handbook.
- Ensure all print room staff ascertain ownership of book/magazine/newspaper, etc.before copying.
- Ensure that all colleagues entering into a special agreement with a copyright holder communicate the terms of the agreement in writing to print room staff when submitting work to be copied.
- All books, magazines and journals not covered by the CLA licence could be stamped with ‘Not covered by the CLA Licence’.
- Ensure that all newspapers purchased by the College are stamped with the College logo.
